Navigating within Caresquare Mobile App

SETTINGS


When you log in to the mobile app, you will be directed to the Settings tab. This section allows you to view your profile, manage participants you have access to, and log out of the app. Below is a breakdown of each feature:

a. Log Out Button

  • Located at the top-right corner.

  • Tap this to securely log out of your account.

b. Your Profile

  • Displays your name and email address linked to the account.

c. Current Participant

  • Shows the participant profile you are currently viewing.

  • To switch, simply select a different participant from the list below.

d. List of Participants

  • Displays all participants you have permission to view.

  • Each entry includes the participant’s name and NDIS number

e. Refresh Button

  • Use this button to refresh the list of participants.

  • Helpful when new participant permissions have been granted or updated.

DASHBOARD


The Dashboard tab gives you a quick overview of your account activity and important actions that need your attention such as if there is an invoice that needs your review/approval



Actions Required Section

  • Displays important tasks that need your attention (like approvals).

Example: “Invoices requiring approval” will appear here if you have invoices pending review.

View Statements

  • Allows you to view participant statements.

You can toggle between Actions Required and View Statements at the top.

BUDGET


The Budget tab will display the participant's overall plan details and a breakdown of their funding funding. Wherein you can :

  • Monitor spending progress with percentage indicators and “spent” details.

  • Check how much budget you still have in each category and sub-category.

  • Plan ahead by seeing exactly how many months remain in your plan and whether your funds are being used up too quickly or slowly.


a. Plan Overview

  • Plan Dates – Shows the start and end date of your plan.

  • Progress Bar – Indicates how far along your plan is and how many months remain. Example: “4 months remaining” shows how much time is left before your plan expires.

b. Budget Categories

  • Divided into categories such as (Capacity Building, Capital, Core)

  • Each category shows:
    - Remaining balance (how much is left).
    - Total allocation (the full budget given for that category).
    - Usage percentage shown in a blue circle (e.g., 100% = fully allocated/used).

c. Drilling into a Category (Tap on a category to view support categories)

  • Within each main support category, you’ll see a breakdown of specific supports.
    Example under Capacity Building:

    • Improved Daily Living

    • Improved Life Choices

    • Improved Relationships

    • Support Coordination

  • Each shows:

    • Amount remaining

    • Total budget allocated

    • Percentage

    • Amount spent (e.g., “Spent $0.02”)


CLAIMS


The Claims tab helps you track invoices through their different claim statuses from approval to NDIS submission and final payment. This opens your list of invoices/claims, which are grouped by status.



Approval 🟠

  • These are invoices waiting for your decision.

  • You can choose to Approve or Reject an invoice.

  • If you select Reject, you’ll be prompted to provide a reason before submitting.

Double -Click on an Invoice to view the Invoice Details
Tap on an invoice to view:

  • Invoice number

  • Date

  • Provider name

  • Total amount

  • Line items (service codes, quantities, rates, and dates of service)

Approving or Rejecting an Invoice

  • On the invoice details screen, you’ll see two options:

    • Approve (green button) → Sends the Invoice forward for processing.

    • Reject (red button) → Prompts you to give a reason before the rejection is submitted.


  • If you select Reject, you’ll be prompted to provide a reason before submitting.



Pending

  • These are invoices that have already been submitted to the NDIS, but payment has not yet been confirmed.

Paid

  • These are invoices that have been successfully paid by the NDIS.

  • They show the provider name, invoice number, date, and amount paid.

ALL

  • View all invoices together regardless of status.


Example Flow

  1. An invoice arrives in Approval status.

  2. You open it, review the details, and click Approve or Reject.

  3. The invoice then moves to Pending once the Plan Manager submitted the invoice to the NDIS.

  4. After payment is confirmed, it automatically moves to Paid.
