How to Send a Bank Verification Form to a Provider or Participant

The Bank Verification Form feature allows Plan Managers to send a secure form to providers or participants to verify their banking details, supporting Confirmation of the Payee (CoP) requirements.

Before you begin

Ensure the Bank Verification Form feature is enabled for your organisation.


How to Enable the Bank Verification Form

  1. Go to Settings.

  2. Select the Features tab.

  3. Under Security & Payments, enable Bank Verification Form and click update.

Note: This only needs to be enabled once by an administrator.



Sending a Bank Verification Form

Step 1: Open the Provider or Participant

Navigate to the Provider or Participant whose bank details you would like to verify.

In the Banking Details section, click Send Form.


Step 2: Confirm the recipient's email address

A modal will appear asking where the secure bank verification form should be sent.

  1. Verify the email address.

  2. Re-enter the same email address in the confirmation field.

  3. Click Send Request.

The recipient will receive a secure email containing a link to complete and submit their banking details.


Step 3: Monitor the request

Once the request has been sent:

  • The Banking Details section will display a Requested status.

  • You can:

    • Copy the secure form link

    • Send the form again if required

You can also track all outstanding requests by navigating to:

Compliance → Bank Changes → Pending Response


Any outstanding verification requests awaiting completion from the provider or participant will appear here.


Step 4: Review the submitted bank details

After the provider or participant completes the secure form:

  • The request is automatically removed from Pending Response.

  • It moves to the Needs Review tab.

Open the request by clicking Review.


Step 5: Compare and approve the details

The review page displays:

  • The current bank details on file

  • The newly submitted bank details

  • A side-by-side comparison highlighting any changes

Review the information carefully.

If the submitted details are correct, click Approve.

If the information is incorrect or requires further clarification, click Reject.


Step 6: Verification complete

Once approved:

  • The request moves to the Verified tab within Bank Changes.

  • The Provider or Participant's Banking Details section is automatically updated.

  • A Verified badge is displayed against the banking details to indicate they have been successfully verified.


Workflow Summary

  1. Enable the Bank Verification Form feature.

  2. Open the Provider or Participant.

  3. Click Send Form.

  4. Confirm the recipient's email address.

  5. Send the request.

  6. Wait for the provider or participant to complete the secure form.

  7. Review the submitted details.

  8. Approve or reject the changes.

  9. Once approved, the banking details are updated and marked as Verified.

Best Practice:

Before sending a Bank Verification Form, ensure there are no outstanding requests in the Needs Review tab for that provider or participant.

Reviewing and actioning any pending submissions first helps keep your workflow organised and ensures new requests progress smoothly from Pending Response to Needs Review once the provider or participant submits their details.
