When you log in to the Participant Portal, you will see the list of Participants you have permission to view. Just Click on the participant and click 'VIEW'

Participant Overview Page
This page provides an overview of a participant’s NDIS plan, spending, and provider activity. It is designed to help you quickly check plan progress, provider usage, and invoices.
Participant & Plan Details:
a) Participant Name & NDIS Number:
- Example: *Mykala Portillo – 434465243*.
Remaining Days:
- Shows how many days are left until the plan ends (113 days in this example).
b) Plan and Plan Dates:
- Start date: 01 Feb 2024
- End date: 01 Feb 2026
- Displays if the participant is PACE or NOT PACE.
Plan Utilisation Progress Bar
c) Orange Progress Bar:
- Represents how much of the plan period (time) has been used. Example: *84% complete*.
Charts & Graphs
d) Provider Breakdown (Pie Chart)
- Shows the percentage of funds spent with each provider
- Helps identify which providers are receiving the largest share of the participant’s budget.
e) Invoices Received (Bar + Line Chart)
-This helps track spending trends and identify any invoice activity.
Invoices Tab
The Invoices tab displays all invoices associated with the participant’s plan. This view allows you to search, filter, review, and download invoices. This will only be visible if you have the permission to view the Invoices.
Search & Filters
a) Search Bar:
- Enter invoice number, provider, or keyword to quickly locate specific invoices.
b) Date Range:
- Adjust the time filter (default: current plan period).
c) View Options:
- No Grouping: Default list view.
- Provider: Group invoices by provider.
- Type: Group invoices by support type (Core, Capacity, Capital).
- Category: Group invoices by support category.
- Status: Group invoices by payment status (Paid, Pending etc).
d) Refresh:
- Updates the table to show the latest invoice activity.
Download:
- Exports the invoice list (e.g., to CSV) for offline review or reporting.
e) View Button:
- Opens the invoice details for a closer review.
Documents Tab
The Documents tab is where all uploaded and stored participant-related files can be viewed and managed. It helps keep all essential paperwork, such as quotes, service agreements, reports, and supporting documents organized in one place. This will only be visible if you have the permission to view the Documents.
a) Search Bar:
- Enter a keyword or file name to quickly locate a document.
b) Filter by Plan:
- Narrow documents to those linked to a specific plan period.
c) Document List:
- Documents are displayed in a table with the following columns, Type, Name and Plan.
d) View Button:
- Opens the selected document in full.
e) Other Tools (bottom right):
- Filter : Allows you to filter documents by Plan or name.
- Refresh: Updates the document list with the latest uploads.
- Download: Exports/downloads files for offline access.
Service Booking/Budget Tab
This view helps track how much has been allocated, spent, and how much is remaining in each category. It will show as Service Booking for NOT PACE Participants and Budget for PACE Participants. This will only be visible if you have the permission to view the Budget/Service bookings.
Let's use the above as an Example, Mykala Portillo (NOT PACE)
Category Groups
Bookings are grouped by NDIS budget categories (e.g., **Core, Capacity Building, Capital**). Each category card includes:
- Percentage Circle:
Shows how much of the allocation remains.
- Example: *Core = 100% (untouched), Capital = 99% (almost fully available).
- Allocated:
Total funds allocated.
- Spent:
Amount already used.
- Remaining:
Funds still available.
- Average Weekly Spend:
Current weekly spend
- Available Weekly Spend:
How much can be safely spent per week to stay within budget.
Approvals Tab
The Approvals tab displays invoices awaiting manual approval before they can be processed. This is where the Approver review and decide whether an invoice should be Approved or Rejected. This will only be visible if (1) The participants requires invoices to be approved before processing and (2) you are set as an approver for the invoice.
Invoice Approval List
a) Each pending invoice is displayed in a simple table with these details:
- Invoice Date : The date the invoice was issued.
- Invoice Number: The provider’s invoice number.
- Total: The total amount of the invoice.
- Provider: The name of the provider.
- Actions: Options to Approve, Reject, or View the invoice.
b) Actions :
- Approve (Green) → Marks the invoice as approved and ready for payment processing.
- Reject (Red)→ Declines the invoice, preventing it from being claimed.
- View (Orange) → Opens the invoice details (line items, categories, attachments) for further review before making a decision.
NOTE : Approvals can be completed directly here in the Approvals tab, via the email approval request you receive, or through the mobile app. This gives you flexibility to approve/reject invoices wherever it’s most convenient.
