Accessing Claims History
From the left-hand navigation menu, select Claims History.
Searching and Filtering Invoices
Use the filters at the top of the page to quickly narrow down your search.
You can search or filter invoices by:
Status – View invoices with a specific status.
Invoice Number – Search using the invoice number.
Invoice ID – Search using the system-generated invoice ID.
Provider – Filter invoices by provider.
Participant – Filter invoices by participant.
Date Range – Display invoices within a selected date range.
These filters can be used individually or combined to quickly locate the invoice you're looking for.
Claims History Tabs
All Invoices
The All Invoices tab displays every invoice within your Caresquare account, regardless of its workflow status.
This is the recommended place to search for an invoice when you're unsure where it currently sits in the processing workflow (aside from using the Global Search).
Archived
The Archived tab contains all invoices that have been archived.
For each archived invoice, you'll be able to view:
Archive Reason – The reason entered when the invoice was archived.
Archive Date – The date and time the invoice was archived.
You also have the ability to Restore or Delete the invoice.
Restoring an Archived Invoice
If you need to restore an invoice:
Open the Archived tab.
Tick the checkbox beside the invoice you want to restore.
Click Restore.
The invoice will be returned to the location or workflow stage it was in before it was archived.
Deleting an Archived Invoice
To permanently remove an archived invoice:
Select the invoice using the checkbox.
Click Delete.
Confirm the deletion when prompted.
⚠️ Important: Deleting an invoice is permanent and cannot be undone. Once deleted, the invoice cannot be recovered.
Imported
The Imported tab contains invoices that have been migrated or imported into Caresquare from another system.This is useful for identifying historical invoices that were brought into your account during a migration or import.
Billing Unsynced
The Billing Unsynced tab displays invoices that have not successfully synced with your connected billing system. Invoices appearing here may require review before they can be successfully synced. This tab helps identify invoices that need attention to ensure billing records remain accurate and up to date.
