Instead of assigning money to a provider (like in Service Agreements), you’re defining rules at the category level, such as:
Restricting spend to only certain line items.
Ensuring transport lines are automatically included.
Setting effective and expiry dates for when the rule applies.
This helps control how funds are claimed, ensuring they match the participant’s plan requirements.
Go to Rules page and click '+ New Rule'
Budget Rules
Below is a detailed explanation of each function.
a. Participant
Select the participant from the dropdown list. Once chosen, the participant’s details will be linked to the rule you’re creating.
b. View Budget & Participant Profile
Quick access buttons that allow you to:
View Budget: See the participant’s current budget.
View Participant: Open the participant’s profile directly.
c. Date of Birth
Automatically displays the participant’s date of birth once they are selected.
d. Service Agreements / Budget Rules
Choose whether you are creating a Service Agreement or setting Budget Rules. In this article we will explain the Budget Rules.
e. Rule Setup Section
Here’s where you define the actual spending rule:
Support Category:
Choose the NDIS categoryEffective Date / Expiry Date:
The timeframe this rule applies. (Should fit within the participant’s plan start/end dates.)Only allow these service item numbers for this category:
Lets you restrict funding to specific NDIS line items (e.g., just OT or just Meals Prep Delivery).Include associated transport lines:
If ticked, it will automatically allow related transport costs under this support category.Available =:
Shows how much money is available for allocation from this category.Add Line:
Adds multiple restrictions/allocations under the same rule if needed.
f. Create Rule
Once all details are completed, click Create to save and activate the rule.
