Looking up an Invoice in Caresquare and their Status.

The status actually depends on where you’re viewing the invoice, as the status labels can vary slightly between sections in Caresquare.

Here's a breakdown to help clarify what each status means:

If you're using the Global Search (top of the page):


Received – This means the invoice has been successfully received/uploaded in CS and is currently sitting in the Invoices page. It hasn’t been submitted to the NDIA yet.


Claims – The invoice has been submitted to the NDIA and is currently sitting in the Claims page. Tabs : New, Flagged, Pending or Processed (which may include sub tabs such as Payment Ready, Partially Ready, Partially Paid, Rejected, On hold and Cancelled)


Payments – This indicates the invoice has already been paid to the provider (or to the participant if it’s a reimbursement). It has been fully processed and moved to the Payments page.


Deleted – The invoice has been manually deleted by a user and is no longer active in the system.
Sitting under 'Deleted' tab in Claims History page (previously called 'Archive')



If you're viewing within a Participant’s Profile under the Invoices tab:



Received – The invoice is in CS but has not yet been submitted to the NDIA for processing.


Pending – The invoice has been submitted to the NDIA and is currently awaiting their approval or it has been paid by the NDIA but you haven't initiate yet the payment to the provider (or participant, for reimbursements).


Paid – The invoice has been processed and paid, and the transaction has moved to the Payments page. This also means that the payment has been passed on to the provider (or participant, for reimbursements).



meaning of those Individual LINE status (Invoice view)


Reconciled – You've already passed on the payment to the provider, so this line has been fully processed on your end. Meaning that you've already paid the provider (or participant, if for reimbursements).


Pending – The claim has been submitted to the NDIA and is currently waiting for their approval and payment.


Partially Paid – The NDIA has only paid a portion of the amount claimed for that line item.

Paid – The NDIA has released the funds for that specific claim line, meaning you've received the payment from them.
