Email templates in Caresquare are designed to help you save time and ensure consistency when sending messages. Instead of manually typing out the same message each time, you can set up a reusable template that automatically fills in key invoice details like participant names, provider information, and invoice numbers.
This is especially useful when you’re sending similar emails regularly. Once a template is created, you can simply apply it when composing an email, and all the key details will be pre-filled for you.
How to Create an Email Template
1. Navigate to the Templates Section
Go to Settings
Click Your Settings
Select Email Sending > Templates
2. Click "+ Add Template"
This will open a pop-up modal where you can create your new template.
a) Template name - Enter a title or name for your template. This is just for internal use so you can easily identify and select it later.
Example: "Wrong Service Item Number" or "Wrong Total Amount Indicated"
b) Subject - Add the subject line of the email. You can use plain text or insert key details to personalize it based on the invoice.
Example: "Follow-up on Invoice {{InvoiceNumber}} for {{ParticipantFirstName}}"
c) Body (Key Details) - This section shows the dynamic fields you can use in your message. These placeholders will automatically pull information from the invoice you're working on.
Common Key Details Available:
{{Participant First Name}}
{{Participant Last Name}}
{{Participant Number}}
{{Provider Name}}
{{Invoice Number}}
{{Email Signature}}
You can insert these into your message body for automatic population.
d) This is where you’ll write the main content of your email. Include any standard messaging you want to reuse, and insert key details where needed to personalize each message.
e) Once you’ve completed the fields above, click "Add Template" to save. Your template will now be available for use whenever you send an email through Caresquare.
Tips:
Use clear and consistent naming for easy reference.
Include key placeholders without needing to retype details.
Always review your template before saving to ensure it reads smoothly when dynamic content is inserted.
