How to Navigate the Participant's 'About' Tab

The About tab serves as a repository for all relevant data and information pertaining to the Participant and the associated setup configuration.

Details

  • First Name

  • Middle Name

  • Last Name

  • Show alias name - You have the option include the alias name for the Participant, (please see note)

  • Participant #

  • Date of Birth

  • Gender

  • Disability


Note : If the Participant wishes to only use an alias name to sign up, we won't be able to access your information from the NDIA (National Disability Insurance Agency) so we have the option to put their alias name but first and last names are mandatory fields. Also, alias name will be displayed on the monthly statements sent to participants.

Portal

  • Log in email - To grant the participant access to the Participant portal, enter the Participant's email address and click Invite

Contact

  • Email - this is also where the Participant will receive the statement and Invoice email approval

  • Phone number
    - Call button - You have the capability to integrate your Zoom, WhatsApp, and Teams accounts.

Address

Payment

  • BSB and Account number - To facilitate reimbursement payments

Configuration

Enable the "Statements Required" option to receive statements for the participant and/or their associated team members.

  • Statement Period - You have the option : 'Weekly', 'Fortnightly' or 'Monthly'
    (this is a required field)

  • Participant Statements - This can only be activated when you enter the participant's email address in the 'Contact' Section.

  • View Statement recipients - Clicking this will open a pop-up showing a list of the participant's team members who are also set to receive statements. These are the team members associated with the participant who have the "Email Statement" permission enabled (see below screenshot)

Note : Team Member pertain to the Participant's Team, not within your organization.

Enable the "Approvals Required" If you want to have a participant's approval on invoices.

  • Custom Approval Time out - Applicable only to participants with 'Approval Required' set to "True.". This defines the timeframe or specifies the duration for which the approval email remains accessible to the participant for review and action

    Note : If the participant fails to approve or reject the invoice within the specified timeframe, the invoice is automatically approved by the system.

  • Participant Approved - This can only be activated when you enter the participant's email address in the 'Contact' Section.

  • View approval recipients - Clicking this will open a pop-up showing a list of the participant's team members who are also set to receive an email for Invoice approval. These are the team members associated with the participant who have the "Approve Invoices" permission enabled (see below screenshot)

Note : Team Member pertain to the Participant's Team, not within your organization.

  • Assignee - You have the ability to designate a user or a team member to be responsible for the supervision of participant invoices. Once assigned you can view the name assigned to that participant in the Invoice page.

Download Participant Profile

Download participant profiles by clicking the "Export" button located in the lower left corner.

The report will be downloaded to your computer in CSV format.

Important : Upon completion of any data entry, configuration adjustments or any changes made, always click 'Update'
